Yes, Jaapi integrates with Workday. A scheduled export from Workday keeps your swag store’s user list in sync and lets HR data drive credit — monthly budgets, new-hire welcome kits, anniversary gifts. Because the export can carry any field (hire date, department, location, cost center), it does more than identity provisioning alone. Setup takes an HR systems admin an afternoon.

How does the Workday integration work?

Workday sends a scheduled export of your active employees to Jaapi, which reconciles it against the store’s user list on every run. Workday’s native tool for this is the EIB (Enterprise Interface Builder) — a built-in way to send data out on a schedule with no custom code. The export is delivered to a Jaapi endpoint over REST (or SFTP for locked-down deployments) and authenticated with a Bearer token.

Unlike a pure identity feed, the export can include the HR fields that decide how much credit each person gets — which is why Workday is the richest swag integration we offer.

What does the Workday sync automate?

A daily reconciliation handles three workflows in one pass:

  • Onboarding. Any employee in today’s export without a store account gets one created, with any new-hire credit allocated immediately rather than weeks later.
  • Offboarding. Anyone who was present yesterday but missing today is deactivated, and their unspent credit is reclaimed to the company.
  • Credit distribution. Fields in the export drive credit rules — a monthly budget per tier, a bonus based on hire date, a higher budget for regions where swag costs more. The rules are configured per customer.

The admin’s job shifts from “maintain the user list” to “review the daily summary email.”

How do I set up the Workday integration?

Setup is guided: you build the export in Workday, and we configure the column mapping and credit rules on our side during onboarding.

  1. Build a custom report in Workday listing active employees with the columns the store should see (email, first name, last name, employee ID, plus anything that drives credit).
  2. Create an outbound EIB that transforms the report to CSV and delivers it to the Jaapi REST endpoint on a daily schedule, authenticated with a Bearer token.
  3. Send Jaapi a sample export. We map the columns, agree the credit rules and first-run plan with you, and switch the schedule on.

Workday or SCIM — which should I use?

Use SCIM (from Okta, Entra ID, or Rippling) if all you need is “create user on hire, deactivate on termination.” Use the Workday HRIS sync when you want HR data to also drive credit and gifting logic, because SCIM doesn’t carry department, hire date, location, or budget tier. Many customers run SSO + SCIM for authentication and a Workday CSV sync for credit — the two don’t conflict. See our HRIS swag automation guide for the full breakdown.

Does this work with other HRIS platforms?

Yes. The same reconciliation works with any HRIS that can schedule an outbound export — BambooHR, Personio, HiBob, SAP SuccessFactors, ADP Workforce Now, and Paylocity all qualify. Only the UI for configuring the export changes; the Jaapi side is identical. Jaapi is ISO 27001:2022 certified with EU-hosted data, and every sync is audit-logged.
