Every company with people in India eventually asks the same question: how do we get swag to the team in Bengaluru without it getting stuck at customs? The honest answer is that you don’t ship swag to India. You make it in India.

Why importing swag into India hurts
India treats every inbound package as a commercial import, and the rules follow from there. There is no de minimis: the threshold is ₹0, so even a single t-shirt in a padded mailer owes duty and tax on arrival.
The charges also stack in an unfriendly way. Duty is assessed on the item value plus shipping and insurance, then Basic Customs Duty, a Social Welfare Surcharge, and IGST are each applied on top of what came before. A hoodie that cost you $40 to buy and $30 to ship gets taxed on the full $70, and the combined charges can easily reach a third of that.
Clearance is the other half of the pain. It can take days or weeks, and classification is inconsistent enough that an item which cleared one port smoothly gets flagged at another. Drinkware, electronics, and anything with a battery draw the most scrutiny, which is unlucky, because those are exactly the items people want in their kits (more on that below).
If something genuinely must cross the border, ship it DDP so your recipient never sees the bill — we wrote a whole post on DDP vs DDU. But DDP only moves the cost onto you. It doesn’t remove it.
Make it in India instead
Jaapi runs local production in India: two facilities covering embroidery, DTF, DTG, and UV printing. When an employee in Pune orders a hoodie, it’s printed in India and delivered domestically, typically within 4 to 8 business days. Nothing crosses a border, so there are no duties, no customs forms, and no surprise fees for anyone. Shipping runs a few dollars instead of the $50+ an international express label costs before duties even start.
There’s no warehouse in this model either. Items are produced when someone orders them, so there’s no bulk shipment to clear customs and no carton of leftover size L sitting in an office cupboard.
What India-based employees actually order
Rather than guessing, we pulled every paid order our stores have shipped to India and compared the mix against the rest of the world. Assortments differ from store to store, but the pattern is consistent:
- Insulated steel bottles and travel mugs are the top category by a wide margin. Drinkware makes up roughly double the share of India orders that it does everywhere else. Which is fitting, since drinkware is also among the most-flagged categories at Indian customs. Make it locally and both problems disappear.
- Laptop backpacks over-index even harder, at roughly three times their global share. No mystery here: most of our India orders go to Mumbai, Bengaluru, Pune, Chennai, and Hyderabad, commuter cities where people carry a laptop every day.
- Hoodies hold their ground. You might assume a warm climate kills hoodie demand. It doesn’t: hoodies take the same share of orders in India as they do globally. Offices are air-conditioned.
- Plain tees underperform. They’re the global bestseller, but in India they take about a third of their usual share. If your India kit is three t-shirts, you’re sending what’s easy, not what’s wanted.
The bigger lesson is to stop guessing entirely. With a swag store, your India team picks what they actually want, in their size, from items that can be produced in their region. The mix question answers itself.
One timing note: Diwali
If you send a yearly gift to your India team, late October to early November lands in peak gifting season. Local production means the lead time is days rather than the weeks a cross-border bulk order needs, but the facilities get busy. Set up your gift campaign a few weeks ahead, not the week of.
